Hello, Orangescrummers, we are here with an update for all our cloud users. Orangescrum has released the new ‘User Role Management’ feature for its Cloud edition.

Today’s project teams are more interconnected and collaborative than ever. When you work with teammates who have different perspectives, roles, expertise, and skill sets, the quality of the work you perform together improves.

Successful projects are always the consequence of careful planning and execution of a project’s team members.

Projects can’t move forward without each of its key team members, but sometimes it’s not clear what roles and responsibilities they are portraying. Ultimately, work can get messy-fast.

Hence, it becomes vital that project leaders must invite the right people at the right time.

It’s always refreshing to add new features to your product. And especially when that feature is one that can be helpful to your customers.

Orangescrum has always been very cognizant of its customers’ needs and what would be best for them.

What’s New Now?

Orangescrum’s users always have a smoother project management experience. Having a well-defined process and structure is its utmost importance.

We have introduced the new ‘User Role Management‘ feature for Orangescrum cloud edition.

Previously without this feature, the users log on to their Orangescrum Account as an Owner, Admin, User or Client with defined access.

Most users don’t require high levels of access in a project. Most of the time, users are unaware that they are logged on as an Admin or User.

Hence, the user can intentionally or unintentionally edit tasks, change dates or close the task. And these changes may affect project schedules and deadlines.

With Orangescrum’s User Role Management feature, you can clearly define the roles & responsibilities of your teams as well as the projects.

Now let me take you through this outstanding feature and how you’ll benefit from it the most!

How to navigate User Role Management?

Go to “Settings”, under ‘Company Settings’ you can find the User Role Management option. Click on that and you will navigate inside.

Under this page, you will find the Role Group section under which you can do the following;

  • Create New Roles for users
  • Create Role Groups
  • Add users to defined Roles

Before we move ahead, let’s have a quick discussion over a few useful terms;

  • User: A person in your team
  • Role: Defines which members have certain abilities, such as permission to create projects and see beyond projects to which they are assigned. Eg- developer, manager, etc.
  • Owner: The person in charge of your Orangescrum account
  • Role Groups: Management under which you can have roles like Directors, Managers, Finance Managers, Sales Managers, etc.
  • Short Name: Defines the short name of your User Role and Group

How to create a new User Role Group?

Whether it is a large enterprise or a small-medium business house, each one has many role groups like Managing Board, Executives, Finance, HR, Team Leads, Support, Marketing, etc.

And besides, they need special privacy about their tasks, invoices or projects. Orangescrum perfectly understands this; here is how you can create different role groups with this new feature:

  • On the Role Group page, click on the orange color “+” button & click on the “Create New Role Group” option.
  • On the New Role Group pop-up, you can mention your User Role Group like CEO, Project Managers, Team Leads, HR, Finance, etc. and the short name for the Group. Click on create to define your New User Role Group.
  • Once you create your departments you can create User Roles and define the actions each role can perform.

How to create a New User Role?

Under Role Groups, there must have different resources working with their roles as per seniority and experience. He may be a senior, junior, executive officers or maybe a trainee as well.

You just need to define their roles as per their designation in the company, so that they can clearly understand their responsibility and you can maintain the privacy from top to lower level.

  • To create a user role under a Role Group, click on the ‘+‘ icon on Role Group page and click on ‘+‘ Create New Role.
  • On the Create New Role Page pop-up, define “Role” name you want to create like: VP, Director, Developer, Tester, Analyst, Graphic Designer, Project Manager, Trainee, etc.
  • Then give a short name, mention the specific Role Group (To which user belongs to) and then add users.

How to define Role Based Access Control?

  • At first, define which feature or module you need to give access to a user role while creating the Role.
  • Once you created the User Role, click on the Modules (like Tasks, Projects, Gantt chart, etc.)
  • Select accordingly to which the user can get access to view/manage/delete.
  • After defining the Actions, never forget to click “Save Changes” to complete the accessibility of a user role.
  • At any time, you can change the access to actions or modules for a Role.

How to manage User Role Groups and Roles?

At any time, you can edit/remove any action, modules or a user for a user role.

Who can see the User Role Setting and who can define the role?

The Owner and Admin of the Orangescrum account can only see the User Role Setting. Once the owner/admin defined the role & access, the user can access his/her Orangescrum account to perform the action within Orangescrum accordingly.
